This Privacy Policy explains how FIN TALENT AUSTRALIA PTY LTD (trading as FinTalent) collects, uses, stores and discloses your personal information. It applies to all information collected through our website, email, phone, video calls, recruitment activities and any other interaction you have with us.
We are bound by the Australian Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs). This policy is written in plain English so you can understand what we do with your information without needing a lawyer.

3. What information we collect
The information we collect depends on whether you are engaging with us as a hiring client, a candidate, or a website visitor.
From candidates
- Name, email, phone number and location.
- Resume / CV, employment history, qualifications, certifications, references and right-to-work status.
- Career preferences, salary expectations, notice period and motivations for moving.
- Notes from our conversations, interview feedback and assessment outcomes.
From clients
- Name, role, business name, email and phone number of the individual hiring contact.
- Information about your business, roles, team structure, salary bands and hiring preferences.
- Feedback on candidates and interview outcomes.
From website visitors
- Pages visited, time on page, referrer and approximate country (via Vercel Web Analytics, which is cookie-less and does not identify you personally).
- Device type and browser, for layout and performance debugging.
4. How we collect your information
- Directly from you (phone, email, video call, in-person meeting, or our Calendly booking link).
- From your publicly available LinkedIn profile or other professional networks.
- From referees you have nominated.
- From third-party recruitment platforms (e.g. Seek, LinkedIn) where you have made your profile available to recruiters.
- Automatically through your use of our website (see analytics above).
5. How we use your information
We use your information to:
- Match candidates to suitable roles and present candidates to clients.
- Communicate with you about opportunities, applications, interviews and outcomes.
- Provide our recruitment consulting services and meet our obligations under our Terms of Business.
- Maintain accurate records in our customer relationship management (CRM) system.
- Improve our website and services.
- Meet our legal, tax and compliance obligations.
6. Who we share your information with
We share personal information only as necessary to deliver our services:
- Clients: we share candidate details with the specific client a candidate has agreed to be put forward to. We do not share candidate information speculatively or without consent.
- Referees: when conducting reference checks at the candidate's request and with their consent.
- Service providers: trusted third parties who help us operate, including Spott (our CRM), Calendly (booking platform), Microsoft 365 (email and document storage), Vercel (website hosting and analytics) and Anthropic (AI-assisted drafting for internal use).
- Legal and regulatory bodies: where required by Australian law.
We never sell your personal information to third parties.
7. Data storage and security
Your personal information is stored electronically in secure cloud platforms operated by the service providers listed above. We take reasonable steps to protect your information from misuse, loss, unauthorised access, modification or disclosure, including access controls, two-factor authentication on key systems, and regular review of who has access to what.
We retain candidate and client information for as long as we have an active or potentially-active relationship, and longer where required by law (for example, tax records). You can ask us to delete your information at any time, see "Access and correction" below.
8. Overseas disclosure
Some of the service providers we use (notably Spott, Calendly, Anthropic and Vercel) are based in the EU & US and may store data on servers located outside Australia. We only use providers who maintain industry-standard security practices and publish their own privacy policies. By providing your information to us, you consent to it being processed and stored by these providers.
9. Cookies and analytics
Our website uses Vercel Web Analytics, a cookie-less analytics tool that records aggregate visit statistics without using cookies or tracking individuals across sites. We do not use advertising cookies, retargeting pixels, social media trackers, or any other form of cross-site tracking.
10. Access and correction
You can request access to the personal information we hold about you, ask us to correct it, or ask us to delete it entirely. Email joe@fintalent.com.au with your request and we will respond within 30 days.
11. Complaints
If you believe we have mishandled your personal information, please contact us first at joe@fintalent.com.au and we will investigate and respond within 30 days. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.
12. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page indicates when the policy was most recently revised. Where the change is material, we will let active clients and candidates know directly.
